Tips For Importing Contacts and Prospects Into Matrix

Below are some tips on how you can best import contacts or prospects into Matrix.

1. Your Excel CSV file should have the same format as detail in #4 below.

2. It is highly recommended that you import prospects before contacts; otherwise, contacts will need to be manually associated with the appropriate account using the same .csv file.

4. When you import this information into Matrix, the following fields need to be included;

- First Name
- Last Name
- Title
- Company
- Address 1
- Address 2
- City
- State
- Zip
- Email
- Business Phone
- Mobile Phone
- Fax

5. The First Name and Last Name are required, and must be present in the export file.  Also, the account (company name) that is present in the export file must exactly match an account name in Matrix, or the field will be left blank.

6. It is best that you delete out all of the unnecessary columns of information…especially the “Notes” or “Comments” columns.

7. Do not have a “/” in any of the fields

8. For phone numbers –  it is best to use the format of ###-###-####  **do not use (###) ###-#### or ###.###.####

9. For extensions on phone numbers – do not use ext., X, ex, etcetera.  Just enter a space after the main number and then the extension number.  Just like 412-697-3000 3056 – Matrix will not read “letters” in the field.

10. When doing the actual importing, the file that is being used to import in must be closed
