Monarch - Different Scenarios when using Clarity to Sync Emails and Calendar Events as Activities

Syncing Emails to Monarch as Activities

Once you are connected to Clarity, any emails that you create or respond to will sync to Monarch to create a Completed Activity, pending the Blocklist. Email Activities will allow you to view the email within Monarch with limited formatting. 

Note: Clarity will consider both the Email and Alternate Email on a contact when associating an Activity with a Contact. 

The following outlines scenarios that are likely to happen with Clarity and details the expected result:

  • Sending an email where all recipients are not on the block list will create an activity in Monarch. Additionally, any Contacts that already exist in Monarch that are recognized by the email address will be automatically affiliated to the Activity. Any contacts on the Email not recognized will be created as Potential Contacts for review.
  • Creating an email where a mix of recipients are on the block list (including those on the same domain as you) and others are not on the block list will create an Activity in Monarch. Additionally, any Contacts that already exist in Monarch that are recognized by the email address will be automatically affiliated to the Activity. Any contacts on the Email not recognized will be created as Potential Contacts for review. 
  • Creating an Email where all recipients are on the block list (including those on the same domain as you) will results in no Activity being created in Monarch. 
  • The Account and Agency may be set on an Activity created from an email if one of the Contacts on the Activity already exists in Monarch and is also affiliated to an Account or Agency. If there are multiple contacts from multiple Accounts or Agencies, then the first Account and Agency encountered will be the ones that are set on the Activity. 
  • Emails received will never create an Activity in Monarch. This is because simply receiving an email does not constitute moving a piece of business forward. Imagine the number of spam emails or simple responses like “Thanks!” that would inflate your Activity count. Responding to that email, however, is taking action and will create an Activity.

Syncing Calendar Events to Monarch as Activities

Once you are connected to Clarity, any calendar events that you create or receive on your default calendar (Typically called “Calendar”) will sync to Monarch to create an Incomplete or Completed Activity, pending the Blocklist. Please note that Clarity will consider both the Email and Alternate Email on a contact when associating an Activity with a Contact.  

The following outlines scenarios that are likely to happen with Clarity and details the expected result:

  • Only Events originating from or accepted on your default calendar will be considered for the Clarity Integration. This eliminates events like holidays on a holiday calendar or shared calendars from erroneously creating activities.
  • Events synced to Monarch will create an Incomplete activity if the date of the event is today or in the future. 
  • Events synced to Monarch will create a Completed Activity if the date of the event is yesterday or further in the past.
  • Creating a calendar event where you are the only attendee will create an activity in Monarch.
  • Creating or receiving a calendar event where all recipients are not on the block list will create an activity in Monarch. Additionally, any Contacts that already exist in Monarch that are recognized by the email address will be automatically affiliated to the Activity. Any contacts on the Calendar Invite not recognized will be created as Potential Contacts for review. 
  • Creating or receiving a calendar event where a mix of recipients are on the block list (including those on the same domain as you) and others are not on the block list will create an Activity in Monarch. Additionally, any Contacts that already exist in Monarch that are recognized by the email address will be automatically affiliated to the Activity. Any contacts on the Calendar Invite not recognized will be created as Potential Contacts for review. 
  • Creating or receiving a calendar event where all recipients are on the block list (including those on the same domain as you) will results in no Activity being created in Monarch. 
  • The Account and Agency may be set on an Activity created from a Calendar event if one of the Contacts on the Activity already exists in Monarch and is also affiliated to an Account or Agency. If there are multiple contacts from multiple Accounts or Agencies, then the first Account and Agency encountered will be the ones that are set on the Activity. 
  • Deleting/Cancelling a Calendar Event that was previously synced to Monarch will result in the corresponding Activity being deleted from within Monarch.
  • Updating a Calendar Event with new information such as new attendees, location, or notes will result in the Activity being updated within Monarch.
  • Recurring Calendar Events will maintain Activities in the future for up to 6 months and will roll forward each month so that future recurring events are always saved as Activities. Please note that if editing an individual event in a series that Clarity will only sync it to Monarch if the event is not in the past.
