Monarch - What is Clarity and how to get started & Admin Settings

Clarity is a paid integration between Monarch and your Outlook or Gmail solution for Emails, Calendars, and Contacts. Common tasks that Clarity can automate for you are:

  • Saving Sent Emails to Monarch as new Email Activities
  • Saving Calendar Events from your default calendar to Monarch as new Activities or updating existing ones for previous saved events.
  • Creating new Contacts in Monarch from Emails and Calendar Events
  • Creating and updating Calendar Events in Outlook or Gmail from Monarch Activities

This generally replaces the previous solution commonly referred to as the “Matrix Activity Email Address” and takes out the manual process of saving emails as activities in favor of automation and much more. You can, however, continue to use this previous functionality to sync any incoming emails to Monarch that you do not wish to respond to.

How to get started

Once your organization has finalized the purchase of Clarity with your Matrix Success Manager, we have a couple of paths to get started.

If available and permissible, Monarch can bulk authentication all users that will make use of the Clarity integration. This is only available for Outlook users (Google does not provide a solution for this) and takes out the initial setup process from each individual user. We will grant access for each user and Clarity will begin  process for you without any additional configuration to get started. Authenticated users will immediately begin syncing future calendar events to Monarch via Clarity.

However, if bulk authentication is not possible (such as using the Google solution), IT policies forbid it, or if you ever become unauthenticated at any time while using Clarity then you will need to authenticate yourself with the following steps.

  1. Navigate to your Profile by clicking on your name in the upper right corner and choosing “Profile”.
  2. On the Profile page, click the “Integrations” tab.
  3. In the “Clarity Integration” section, click on the Connect to Clarity button.

Note: You will be taken outside of Monarch to authenticate with Clarity using either your Google or Microsoft solution. For this document, Microsoft and its Outlook solution will be used.

Upon selecting Google or Microsoft, you may be asked specific account information including which email to use and a password. Once authenticated, you will be directed back to your Profile in Monarch.

 4. Click on the “Integrations” tab once again and verify that the “Clarity Integration” section now shows a button Remove  Integration and a new Clarity Settings option appears.

Notes: 

-Please note that authenticated users will immediately begin syncing future calendar events to Monarch via Clarity as well as future Activities in Monarch to your calendar. If you ever become de-authenticated, the emails sent during that time will not be captured. However, future calendar events or activities created from the date of reconnection will be captured. If you are de-authenticated a red error message will appear when the home page loads letting you know that you need to reconnect Clarity within My Profile.

-Clarity is designed to work with alias/alternate email addresses. This means if you have 1 user, Ryan, that has ryan@waaa.com and ryan@awesomemedia.com and both forward to the same inbox that you will have the expected experience when emails/events come to/from both addresses. However, users should review their blocklist and may want to add aliases to the list so that internal meetings are blocked if they are primarily used internally. 

Let the Matrix Team know what to configure

Administrators will need to configure Clarity from the Settings page and determine a couple of options:

1. What Activity Type gets set for all Activities created from Emails?

2. What Activity Type gets set for all Activities created from Calendar Events?

  • If you ever decide to change these selection in the future, the change will only impact activities created after the update. This will not retroactively update any activities for Emails or Calendar Events.
  • Additionally if you ever delete the activity type being used, you will be asked which activity type to move existing activities to. This update will also set the Clarity values for Emails and Calendar Events too.

3. Optionally Delete Activities created through the Clarity integration after 7 days if it does not have a Contact, Account, or Agency. This helps to ensure that quality activities retained in Monarch and promote better workflows. 

  • Activities will be analyzed for removal immediately then the process will run nightly.

4. Tenant Wide Blocklist allows the administrator the set specific Domains (ex: gmail.com) or email addresses (ex: support@myco.com) that will not be considered as part of the Clarity experience for syncing any Calendar Events, Emails, or Activities to and from Monarch and Outlook.

Disable Clarity for Individual Users

If you ever need to disable Clarity for a specific user or ensure that they cannot connect to it to begin with, as the admin, you can edit the user and disable Clarity. To disable the user, please follow the below steps:

1. Navigate to the User List. 

2. Edit a user.

3. On the user profile, place a checkbox in the option “Hide Clarity From User”.
