Alerts are the tools that can help you closely monitor your data in Matrix such as Deals, Activity, Forecast, Billing, and Accounts. When these data fall within the criteria that you have set up, Matrix will alert you so you can take some actions before it is too late. There are two types of Alerts: Pains to avoid and Gains to seek.
Alerts under Pains to avoid are something we need to monitor closely or take some action to avoid missing out some oppertunities. These Alerts show under either Red(Take Action) and Yellow(Watch Closly) column.
Alerts under Gains to seek are something great that we need to celebrate. These Alerts show under either Blue(Encourage) or Green(Celebrate) column.
Below are the Alerts that you can set up in Matrix. To view the instruction of how to create each Alert, please click on the Alert name listed below.
Pains
- Account Spending Not Spending By Outlet - shows you any Accounts that are or are not spending on the Outlets of your choosing.
- Account Spending Not Spending By Rev Type - shows you any Accounts that are or are not spending on the Revenue Types you choose.
- Accounts Without Future Billing - shows you the list of Accounts that do not have future billing within the selected time frame.
- Below Activity Threshold - shows you the Salespeople name whose number of Activities is below the number that you have defined over some time frame.
- Category Trending Down Threshold - shows you the list of Categories whose revenue rank is lower than the previous time frame of your choosing.
- Deals In Stage - notifies you when a Deal enters a sales stage that you care about.
- Deals Past Deals - notifies you when pending business should have been closed but has not yet been.
- Forecast Under Budget - notifies you if the Forecast total for the time frame does not equal or exceed the Budget assigned.
- Leads and Prospects Above Threshold - notifies you when numbers of Leads and Prospects is more than the number that you have defined.
- Leads and Prospects below Threshold - notifies you when numbers of Leads and Prospects is less than the number that you have defined.
- Lingering Deals - notifies you when Deals stay in some Sales stages longer than the time frame that you have defined.
- Quite Accounts - shows you the list of accounts that haven't had activity within some number of days.
- Should Have Booked By Now - shows you the list of accounts that have booked last year, but no booked this year for the next 3 or 6 months.
- Win-Back Accounts - shows you the accounts that billed in the past (you define the months since last billing) but are not actively on the books.
Gains
- Above Activity Threshold - shows you the Salespeople name whose number of Activities is above the number that you have defined over some time frame.
- Deals In Stage - notifies you when a Deal enters a sales stage that you care about.
- Forecast Over Budget - notifies you if the Forecast total for the time frame is more than the Budget assigned.
You can set up any Alerts listed above. After you set up the Alerts, you may see the number next to either the Alerts on the left menu pane or Bell notifications on the right top of page. This number is the number of new Alerts that you haven't viewed. Once all the new Alerts have been viewed, the number should be removed. To view the Alerts that you have set, you can either navigate to Alerts on the left navigation pane or Bell notificaitons and then click on the Alert that you wish to view.

Alert Settings
This is where you can add, delete, edit and turn the alerts on and off. To access the Alert Settings, simply tap ALERTS on the left navigation page and then the Alert Settings icon in the top right corner of your Alert Dashboard. A wizard will help you delete, add, edit, and turn alerts on and off.
- Alert Settings - While on the Alert Dashboard you can delete, add, edit, and turn alerts on and off by selecting the Settings gear in the top right-hand corner.
- Delete Alerts - To delete an alert tap on the X to the left of each Alert name. Keep in mind that deleting an alert will remove it completely from the dashboard, and from your list of available alerts.
- Turn Alerts On/Off - Instead of deleting an Alert, you might want to turn it off for your dashboard for a time. To turn an alert on or off tap the toggle to the right of the Alert Name.
- Edit Existing Alerts - Quickly change an alert threshold by tapping on the green edit button on the far right-hand side of the alert that you wish to edit. You will be walked through what existing values you will need to change before saving.
- Add New - Add a new alert by selecting the “Add Alert” button at the bottom of the My Alerts dialog. Do you want to keep all existing alerts, but add another to meet additional criteria? This is the best way to get started.
