Monarch - Activity Next Steps - Desktop and Mobile

When you add or edit an Activity you will notice a new field, Next Steps after the Status field. They are next to each other because you can configure the Next Steps field to be required when the Status is set to complete as shown in the screenshot where we attempted to save the Activity without defining a Next Step value and it is required on completed Activities.

When the Status is incomplete, the Next Step field will still display, however the red * will not display indicating a required field. You can freely fill in a value or leave it blank at this time.

Editing an Activity flows similarly to adding an Activity. In the screenshot we have tried to complete an Activity while the Next Step is required. This causes a red error message to display letting the user know that Next Step is required in order to complete the activity. Once Next Step is filled in, you can complete the Activity without issue.

**Existing activities with the Status of Complete are not required to have a Next Step and are grandfathered into the system as is. However, if you ever change the Status to Incomplete and back to Complete and the Next Step is required you will need to add a next step. Additionally you can add the Next Step to any completed activity in this manner.

MOBILE 
Like the desktop view, mobile shares the same requirements and fields for Next Step. You’ll find it just below the Agency field and just above the Notes field. 

**Unlike Desktop, mobile does not have a status field for these incomplete Activities. Mobile has a Save and Complete workflow which will change the status at the same time the Activity is completed.

**When doing this, and the Next Steps are required, an error will appear at the top of the screen indicating that you cannot complete the activity without a Next Step. However if a Next Step exists, or the field is optional, then you can freely complete the activity without issue.

Reporting on Activity Next Steps

The Activity Report will show the Next Step of each activity as it was entered with 2 exceptions.

  1. If an Activity existed before Activity Next Steps functionality was enabled, then there will be no next step assigned to this activity automatically. This will be handled in the Activity Next Step filter as the “No Next Step Defined” value. You may edit these activities and add a Next Step value in order to negate displaying this result. 
  2. If an Activity was automatically completed before a Next Step was defined, then there will be no next step assigned to this activity automatically. This will be handled in the Activity Next Step filter as the “No Next Step Defined” value. You may edit these activities and add a Next Step value in order to negate displaying this result.

For all other Activities that do contain a Next Step, a new column exists on the Activity row of the Activity Report, Activity Next Step. These can be filtered from the Filters tab when configuring the report.
